Safety & Compliance
Our Commitment to Safety
Rainbow Kids Care is committed to providing safe, reliable, and transparent babysitting services for families visiting Japan.
Rainbow Kids Care primarily provides babysitting services for international families traveling in Japan. Because many of our clients are located overseas before their arrival, an in-person meeting with the assigned babysitter may not always be practical before the service date. When appropriate, a pre-service meeting may therefore be conducted by video call through Google Meet, WhatsApp, or another suitable platform.
Whether or not a video meeting is conducted, clients receive information about the babysitter’s experience, qualifications, local government notification status, and training status before the service. After the booking is confirmed, the assigned babysitter’s detailed profile and contact information are also shared with the client.
We operate our services in accordance with applicable Japanese laws and the Japanese government’s Guidelines for Matching Sites for Childcare Services.
Please review the following important information before using our services.
Government Notification Requirements in Japan
Under Japanese law, individual babysitters who provide home-visit childcare services are required to submit the applicable notification to the relevant prefectural or local government authority.
Before approving a babysitter’s registration, Rainbow Kids Care confirms that the required government notification has been completed and verifies the relevant supporting documents.
We also review and verify the following:
- Government notification documentation
- Identity verification documents
- Childcare-related qualifications, where applicable
- Government-approved childcare training status
- A declaration confirming that the babysitter has not received a business suspension order, closure order, or similar administrative order
- The babysitter’s experience, communication skills, suitability, and ability to provide safe childcare through an interview and screening process
Applicants who have not completed the required government notification, have not submitted the required documents, or are considered unsuitable to provide safe childcare are not registered with Rainbow Kids Care.
After registration, we periodically review each babysitter’s activity status, training status, government notification status, and submitted documents.
Babysitter Qualifications and Training Status
Where applicable, childcare-related qualifications are shown on each babysitter’s profile. The status of government-approved babysitter training in Japan is also displayed on the babysitter’s profile as one of the following:
Completed
In Progress
Not Completed (Japanese-language requirement)
This allows clients to review the babysitter’s qualifications and training status before making a booking.
Pre-Service Information and Identification
Before booking, clients are provided with a babysitter profile that may include the babysitter’s experience, qualifications, languages, training status, and government notification status.
After the booking is confirmed, Rainbow Kids Care provides the client with the assigned babysitter’s name, detailed profile, and contact information.
At the beginning of the service, the babysitter presents identification to the client and provides or explains information regarding their government notification status, qualifications, and training status.
Clients may also contact Rainbow Kids Care if they require additional information or clarification before the service.
Pre-Service Meeting
Because Rainbow Kids Care primarily serves international travelers, clients and babysitters are generally unable to meet in person before the family arrives in Japan.
Where appropriate, a pre-service meeting may be arranged by video call through Google Meet, WhatsApp, or another suitable platform so that the client and babysitter can see each other and discuss the childcare arrangements.
Before the service, the client and babysitter also confirm important information such as:
- The childcare location and meeting point
- The child handover procedure
- Emergency contact details
- The child’s health condition, allergies, medical conditions, and special instructions
- Planned outings, transportation, meals, bathing, bedtime, or other care activities
- Emergency procedures in the event of illness, injury, accident, earthquake, fire, or another emergency
Childcare Location
Rainbow Kids Care primarily provides babysitting services at hotels, accommodation facilities, and other locations designated by the client.
We do not normally provide childcare at the babysitter’s private residence.
The childcare location and meeting arrangements are confirmed before the service. When childcare will take place outside the child’s usual accommodation or in another designated location, the relevant location and safety information will be reviewed in advance.
Insurance Coverage
Rainbow Kids Care maintains liability insurance for registered babysitters within the scope of the applicable insurance policy.
Insurance coverage, eligibility, exclusions, and compensation limits are subject to the terms and conditions of the insurance policy. Insurance coverage does not guarantee compensation for every incident or loss.
Childcare Updates and Post-Service Reports
During the service, the babysitter provides reasonable updates about the child when requested by the client, as long as doing so does not interfere with the safe supervision of the child.
At the end of the service, the babysitter reports relevant information about the childcare provided and the child’s condition, including, where applicable:
- Meals and drinks
- Sleep
- Bathroom use
- Activities
- Health condition
- Injuries or incidents
- Other important information
Emergency Response
If a child becomes ill, is injured, is involved in an accident, or experiences another emergency, the babysitter will promptly contact the client and Rainbow Kids Care.
When necessary, the babysitter may call an ambulance, contact a medical institution, evacuate to a safe location, or take other reasonable action necessary to protect the child’s life, health, and safety.
Serious accidents or incidents may be reported to the relevant prefectural, municipal, or other government authority when required.
Complaints, Concerns, and Dispute Support
Rainbow Kids Care accepts questions, concerns, and complaints from both clients and babysitters.
If a problem occurs, we will review the information provided by the parties involved and take reasonable steps to support resolution of the matter.
Depending on the circumstances, we may recommend consultation with or share necessary information with:
- The relevant prefectural or municipal childcare authority
- A consumer affairs center
- Law enforcement
- Medical or emergency services
- Another appropriate authority or professional organization
Where necessary to protect children, provide safety information, or prevent similar incidents, Rainbow Kids Care may share relevant information while carefully protecting personal information and considering the wishes of the affected client.
Reviews and Safety Information
Rainbow Kids Care may contact clients and babysitters to confirm whether a review accurately reflects the service provided.
If a review is found to be false, misleading, inappropriate, or inconsistent with the actual circumstances, we may edit, hide, or remove it.
If we become aware of inappropriate conduct, serious complaints, or safety concerns involving a babysitter, we may provide relevant information to affected or potentially affected clients while taking appropriate steps to protect personal information.
We also maintain and review records of complaints and incidents to support safety improvements and help prevent similar issues from occurring again.
